Digitalization of procurement. How to save time and money

The digital transformation of procurement helps the company make procurement processes more efficient and save time and money. How to do it?

Once we analyzed the existing market and thought that we would try to make purchases, namely the tender procedure, electronically.

We have been cooperating with the Zakupki.Prom.ua platform for a year and a half. During this time we have found 192 new suppliers and attracted 60 thousand potential participants.

They do not always participate in our tenders, but they know about the company, its needs, keep track of all the changes, have relevant information. We are very pleased that companies spark interest.

At first, we were worried that we would lose our loyal reliable partners if they did not understand why to participate in the tender. However, suppliers interested in cooperating stay with us and work even better.

What did we get with the transition to electronic purchases?

Extension of geography. Farmak is located in Kyiv, and previously 95% of suppliers were companies from Kyiv. Today, we have partners from all over the country, as well as the experience of cooperation with foreign contractors.

Competition in bidding. When we started, there were a few suppliers participating in tenders. Today, we have an average of 3-5 participants in each procurement procedure. I believe that this is a good competition, because the tender, which involves two companies, is not quite acceptable to us. Of course, we strive to have as many participants as possible.

Time savings. The tender announcement takes 2-3 minutes if we have trained personnel. In addition, we do not print, send, get signed commercial offers, because we trust the documents in the system. Moreover, time savings involve holding more tenders and opening up great opportunities for the company.

Cost savings. We immediately decided to transfer to Zakupki.Prom.ua, because our own electronic portal did not meet our requirements. We did not spend a single dime of our own money on the transition, we did not have to create any additional jobs. There have been no complications because the interface is very simple and the consultants can always support or share their experience. Today, the company holds 89% of tenders on this electronic platform.
